Access and visitors
Building access
One Park Row can be accessed 24 hours a day, 7 days a week with card access. Outside of the hours of 7am to 7pm Monday to Friday, and during weekends, please use the card-controlled door to the rear of the building at Lower Basinghall Street.
Accessible entry
Accessible entry is available as above. If you are expecting guests with accessibility needs, please inform us in advance so we can ensure their comfort and convenience.
Access cards
Each access card is registered to a member of your team, providing detailed records of access times and locations. A £25 replacement fee applies to lost cards. Do not exchange or lend cards to others, as any security incidents involving your card will be tracked back to you. Report lost cards immediately to the Front of House team.
Visitors
Please notify the Front of House team of anticipated visitors by 4pm for the following workday so they can be included on the daily visitors list. Visitors should check in at the ground-floor reception, where they will be directed to the Third Floor, and we will notify you when they are en route. For unanticipated visitors, access will be confirmed with you first.
Room controls
Temperature
Heating and cooling for your office is set to a schedule of 7am to 7pm. The temperature can be controlled by one degree either way using the dial on your wall; for anything more, contact the Front of House team. Please do not introduce additional heating or cooling equipment into your office, as this may disrupt the building's systems.
Lighting
Office lights operate on a PIR system: they come on automatically when you enter and go off after 30 minutes without motion.
Services
Cleaning
Office cleaning takes place outside peak working hours, after 5pm Monday to Friday. Where possible, please maintain a clean and clutter-free desk.
Handyman services
If you require handyman work in your office, please inform the Front of House team, who can advise on availability and any associated costs.
Franking, postage and deliveries
Franking facilities are available at reception for 1st Class, 2nd Class, Special Delivery and Signed For mail. We keep records of Signed For and Special Delivery items, but recommend you also keep your own. Postal charges are included in your monthly invoice.
Daily post collection is around 4.30pm; deliver items for franking to reception by 4pm for same-day dispatch. Daily post deliveries are made to your office; please make sure the delivery address specifies either the Third or Fourth Floor. For larger deliveries, use the rear entrance on Lower Basinghall Street; the front entrance does not accept deliveries using trolleys of any kind.
Waste and recycling
If you have additional rubbish or large recycling items that do not fit in your office bins, notify the Front of House team and we will arrange collection.
Printing
We offer a secure printing, scanning and copying service, invoiced monthly. Email requests to the Front of House team.

Meeting rooms
Meeting rooms are available by booking only; contact the Front of House team for availability. The meeting rooms brochure and policy are available on request. As a Gilbanks member you receive an exclusive 25% discount on meeting room bookings.
Meeting rooms can be booked between 8.00am and 5.30pm; bookings outside these hours incur a 50% surcharge on the hourly rate and require a minimum of 48 hours' notice. Cancellations made within 24 hours of the booking may be charged in full.

Building amenities
Showers
Showers are located in the accessible bathrooms on the third and fourth floors. A towel service provides clean, fresh towels; please place used towels in the laundry basket.
Roof terrace
The roof terrace is accessible during normal operating hours via the seventh-floor canteen area. Picnic benches make it a perfect spot for lunch, breaks and enjoying the city views. Smoking is not permitted, and for health and safety reasons the terrace cannot be booked for events.
Canteen
On the seventh floor, the canteen offers fresh breakfasts from 8.00am to 11.00am and warm lunches from 12.00pm to 2.00pm. Drinks and snacks can be purchased using the self-serve payment machine.
Fitness room
Located on the Ground Floor behind reception, the multi-functional Fitness Room is free of charge to all building occupants. It features two Peloton bikes (a free Peloton account is required), a variety of weights, open floor space and two display screens with WiFi for guided routines.
To arrange access, Pinsent Masons requires a signed disclaimer: read and sign it, then email a copy to david.riley@pinsentmasons.com. Once reviewed, your access card will be updated to grant Fitness Room access.
Kitchens
Two kitchens are available on the third and fourth floors for food preparation and storage. Please avoid using the Club Lounge kitchenette for these purposes.
Dishwashing
- Please place all crockery and cutlery in the dishwasher after use.
- If washing by hand, please dry and put away your dishes to maximise kitchen space.
- Please do not overload the dishwashers.
Microwave use
- Cover food when using the microwave. Cling-film is provided.
- Avoid cooking strong-smelling foods to be considerate of others.
Club Lounge
- Refrain from eating strong-smelling foods in the Club Lounge.
Mugs and glasses
- Feel free to use the provided mugs and glasses reasonably.
- If using your own, wash and keep them in your office; we are not responsible for personal items.
Cleanliness
- Wipe surfaces after use and clean up any spills. Cleaning supplies are available.
- If unable to rectify a mess, please contact our Front of House team.
Fridges
- Use fridge space for daily lunches only; do not store personal items meant for home consumption. Label your food to avoid confusion.
- Fridges are cleaned on Fridays. Items left unclaimed will be discarded by 5pm, including Tupperware with fresh food.
Customer guidelines
- Please respect the space and others around you by tidying up after yourself when working in communal areas and ensuring any noise is kept to a minimum to avoid disturbance to other occupiers.
- Conference calls are only to take place in offices and meeting rooms, not in open spaces including corridors.
- Our reception area is designed for accommodating guests whilst they wait for you.
- The Club Lounge is not to be used as an extension of your office nor designed for holding formal interviews or meetings with large numbers. If you require a meeting room please contact the Front of House team.
- Animals are not permitted on site, with the exception of guide dogs.
- Please keep your personal belongings with you at all times, as Gilbanks cannot take responsibility for any lost items.
- For security, please ensure all doors are closed when leaving your office.
- We also kindly ask that any personal electrical equipment be turned off when your office is empty.
- Footwear must be worn at all times, outside of your office space.
- If you notice any faults or damage within the Gilbanks space, please inform our Front of House team so we can address it promptly.
Health and safety
Fire
The fire alarm is tested every Wednesday at 10.30am. If you hear the alarm sound outside of this time, please evacuate the building immediately via your nearest exit. Please ask a member of staff if you are unsure where this is.
Gilbanks staff are all fire marshal trained; however, to be compliant with fire procedures for the building we kindly ask that each company has a nominated fire marshal, with a second nominated person to cover holidays, sick days and lunch hours where practical. Everyone has a duty of care for their own health and safety and must take responsibility to exit the building via the nearest fire exit in the event of an alarm.
Our designated assembly point is City Square for a fire threat and Millennium Square for a bomb threat. There is no roll call at the assembly point; it is each company's responsibility to account for their own staff members. Please confirm that all staff who work in your office, and your visitors, are aware of the evacuation procedures. Ultimately you are responsible for your visitor.
Fire evacuation procedure
- On hearing the fire alarm, immediately evacuate the premises, closing all doors and windows behind you as you leave.
- Make no attempt to collect clothing or handbags. Do not delay the evacuation process.
- Evacuate the building using the nearest main or escape staircase and exit through the Fire Exit doors leading off the appropriate staircase.
- Do not use the lifts. If you have an employee who is a wheelchair user, please notify the Front of House team upon moving in and they will run through the accessible fire evacuation route.
- Do not re-enter the building until you are instructed that it is safe to do so. When the all clear is given, you may re-enter.
First aid
A First Aid kit is located at our reception on the Third Floor. Reception is staffed between 8am and 5.30pm; if an accident happens outside these times your office needs to be sufficiently prepared to deal with it. Defibrillators are located on the Ground Floor by the security office and in the Seventh Floor lift lobby.
Accidents and incidents
All accidents and incidents that may occur with you or your guests at Gilbanks must be reported immediately to the Front of House team. We have strict reporting procedures to follow, and we cannot be held responsible for any incident that was not reported on the same day.
Near misses
Please report any potentially unsafe issues or concerns that you come across. Our in-house team conduct daily inspections, but issues may occur between these times, so we can all work together to keep our environment safe.
Manual handling
For deliveries you have arranged, please ensure you have adequate arrangements in place for transferring materials from the delivery point (the Security Office on the Ground Floor) to your office. For large or heavy deliveries, please inform reception prior to the delivery time and we will try to organise additional help.
Electrical equipment
All Gilbanks electrical supplies fully comply with legal requirements, and we ask that all equipment within your own office complies to the same standard. Portable equipment (anything with a plug) must be in good working order and inspected prior to use. If in doubt, check with the Front of House team; appliance testing is a service we can offer.
Smoking
Smoking is prohibited throughout the entire building, including the roof terrace.
Lines of responsibility
We maintain the office infrastructure and communal areas, but we cannot oversee your specific activities, equipment or processes, and cannot assume responsibility for unsafe or negligent actions by your staff or visitors.
